3. The Personal Data We Collect

The personal data we collect depends on how you interact with us.

Account Data

When you sign up for an account, we may collect and store the following data:

Required:

  • Password (stored in encrypted form)

Optional:

  • First name and last name
  • Company name
  • VAT registration number
  • National Insurance number
  • Address
  • Telephone number
  • Mobile number

Contact Form Data

When you submit a contact form, we may collect and store:

  • First name and last name
  • Email address
  • Telephone number or mobile number
  • Message content

Where you request further information about a spreadsheet supplied by a third-party or partner, relevant contact form data may be shared with the third-party or partner for the purpose of responding to that request.

Marketing Subscription Data

When you subscribe to offers, news, or similar communications, we may collect and store:

Transaction and Payment Data

When you purchase a product or service, we may collect information necessary to administer the order, account, licence, activation, and support. We do not store payment card details.

Website Usage and Technical Data

When you use our Websites including downloading software and spreadsheets, we may collect limited technical and usage information such as IP address, browser type, device information, and information generated through cookies or similar technologies, depending on the technologies in use.

Easy MTD and Easy MTD VAT Data

During the operation of Easy MTD and Easy MTD VAT, personal data, business data, taxpayer data and agent data may be processed locally on your PC or laptop and transmitted to HMRC and to Fly Software where necessary for the software to operate.

Business, taxpayer and agent data is designed to be stored locally and is not stored on Fly Software servers except for the limited data described in the applicable software documentation and notices.

InForm Data

When you use InForm Designer, only the use of account data is necessary for its operation.

4. How We Collect Your Personal Data

We collect personal data:

  • directly from you, for example when you sign up for an account, complete a form, subscribe, make a purchase, download software or a spreadsheet, or contact us;
  • from your use of our Websites and software;
  • from HMRC, where you use Easy MTD or Easy MTD VAT to retrieve or submit relevant data and you have the necessary authority; and
  • from payment providers or banking channels, where relevant to confirm payment or administer a transaction.

We use personal data only where we have a valid lawful basis to do so.

  • to enable Easy MTD and Easy MTD VAT to retrieve, validate, and submit data;

Certain data, where required by the relevant third party, may be shared with:

  • HMRC, where necessary for the operation of Easy MTD and Easy MTD VAT and the retrieval, validation, or submission of relevant VAT and Income Tax data;
  • PayPal, where you make payments using PayPal or card payments processed by PayPal; and
  • HSBC, where relevant for payments made by bank transfer.

Where you request further information about a spreadsheet supplied by a third-party or partner, relevant contact form data may also be shared with the third-party or partner for that purpose.

We may also disclose personal data where required by law or where necessary to establish, exercise, or defend legal claims.

9. Payments and Financial Information

Payments made on our Websites are processed by PayPal or by bank transfer using HSBC.

We do not see or store card details such as card number, CSC/CVV, or card password.

PayPal processes card and PayPal payment information in accordance with its own Privacy Statement.

HSBC processes bank transfer information in accordance with its own Privacy Notice.

10. Data Storage and Security

We use appropriate technical and organisational measures designed to protect personal data against unauthorised or unlawful processing and against accidental loss, destruction, or damage.

Access to personal data is limited to those within Fly Software who need it for legitimate business purposes.

Personal data stored by Fly Software is stored on a secure UK-based server owned by Ionos Cloud Ltd and maintained by Fly Software.

Ionos Cloud Limited has its own Privacy Policy.

Although we take reasonable steps to protect personal data, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

11. Retention

We keep personal data only for as long as necessary for the purposes for which it was collected, including for legal, accounting, tax, support, and record-keeping purposes.

Retention periods may vary depending on the type of data and the reason we hold it. When deciding how long to keep personal data, we consider the nature of the data, the purpose for processing, legal obligations, and whether it is necessary to retain the data to establish, exercise, or defend legal claims.

Where personal data is no longer required, we will delete it or anonymise it.

You may also request the removal or anonymity of personal data held by Fly Software at any time by contacting Fly Software. We will consider and respond to such requests in accordance with applicable law.

Our Websites use cookies and similar technologies.

Where required by law, we will ask for your consent before using non-essential cookies or similar technologies. Essential technologies may be used without consent where they are strictly necessary for the operation of the site or otherwise fall within a legal exception.
